About this tender

QRP-26-17 - Expression of Interest (EOI) – Market Sounding – Integrated Inventory Management & POS Solution Queensland Rail is seeking Expressions of Interest (EOI) from the market to understand current supplier capability and readiness to deliver an integrated Inventory Management and Point-of-Sale (POS) solution supporting onboard and station-based catering and retail operations. The solution is intended to operate across mobile onboard environments and fixed regional station locations, supporting long-distance passenger services, intermittent connectivity, and frontline operational use. Integration with Queensland Rail’s SAP S/4HANA environment is a key consideration. This EOI is a market-sounding exercise only and is being undertaken to inform Queensland Rail’s future sourcing strategy. It does not constitute a request for tender, request for quotation, or a commitment to procure, and will not result in the award of a contract. Queensland Rail’s Onboard and Station Customer Service (OBCS) function delivers catering and retail services across long-distance and regional passenger rail services, supported by a mix of onboard POS deployments and fixed station-based retail, café, and provisioning locations. The operating environment includes long-distance routes and remote corridors where network connectivity may be intermittent or unavailable. Digital solutions must therefore support offline or low-connectivity operation and simple, reliable frontline workflows. Current challenges include limited integration between point-of-sale and enterprise inventory systems, manual reconciliation processes, and reduced visibility of inventory movements across onboard and station locations. Through this EOI, Queensland Rail is seeking information on market-available solutions, deployment models (including SaaS), integration approaches with SAP S/4HANA, implementation considerations, and indicative commercial models to support improved inventory accuracy, operational efficiency, and customer service outcomes. Additional operational context, indicative deployment scale, and considerations for respondents are provided in the EOI documentation available via SAP Ariba.

How to respond to this tender

A strong tender response is clear, compliant, and backed by evidence. These steps apply to most Australian and New Zealand public tenders.

Read the requirements in full

Open the official listing and download the full tender pack. Note the response schedules, evaluation criteria, mandatory conditions, and the exact closing time and lodgement method.

Confirm you are eligible and it is worth bidding

Check licences, insurances, certifications, and any conformance requirements before you commit. A quick bid or no-bid decision saves days of wasted effort on a tender you cannot win.

Answer every criterion with evidence

Respond to each evaluation criterion directly and back your claims with concrete examples, referees, and past performance. Address the buyer’s stated need, not a generic capability statement.

Lodge early through the official portal

Submit through the source portal well before the deadline. Late or incorrectly lodged bids are almost always rejected, so leave time for uploads, portal errors, and last-minute questions.
