Sustainability Data & Reporting Services, Vivid Sydney & Australia Day, 2027, 2028 & 2029

Overview Destination NSW is seeking a Contractor or Contractors to coordinate and deliver event sustainability data collection and reporting services for Vivid Sydney and Australia Day for the 2027, 2028 and 2029 events. Scope The Contractor will work collaboratively with the Vivid Sydney Event Operations Manager, Event Access & Community Programs and relevant Vivid Sydney teams to scope, plan, implement and deliver Sustainability Data & Reporting Services for Vivid Sydney. The Contractor will also be required to work collaboratively with the Vivid Sydney Event Operations Team, State Government Agencies, suppliers, venues, artists, precinct partners and relevant third parties to collect, consolidate, analyse and validate sustainability data and deliver the Vivid Sydney Sustainability Report and associated sustainability strategy requirements. The anticipated locations covered by these services include: Circular Quay and The Rocks Barangaroo Darling Harbour Vivid Music venues Vivid Minds venues Vivid Food venues Third-party event activations within the Sydney metropolitan area Other locations to be determined at review of service stage The following is a non-exhaustive list of requirements and does not indicate the final scope or volume of sustainability data that will be required. Reporting requirements may vary based on the operational and strategic priorities of Destination NSW and the final Vivid Sydney program. Key Accountabilities Develop and administer sustainability data collection tools and surveys aligned with ISO 20121:2024, GRI and relevant industry best practice Manage sustainability data collection from approximately 80–100 stakeholders, including suppliers, venues, artists, contractors and precinct partners Consolidate, verify and analyse all sustainability data received Calculate the festival's total carbon footprint using appropriate and recognised methodologies Prepare the draft and final Vivid Sydney Sustainability Report Validate the Sustainability Report against ISO 20121:2024 Event Sustainability Management Systems requirements Assess and align sustainability outcomes with relevant United Nations Sustainable Development Goals (SDGs) Support the development and ongoing refinement of the Vivid Sydney Sustainability Action Plan Provide recommendations regarding carbon offsets, GreenPower and continuous improvement opportunities Specific Tasks Develop appropriate sustainability survey questions and data collection requirements Host information sessions and/or webinars to brief relevant stakeholders on sustainability data requirements Distribute surveys and undertake follow-up communications to support a high stakeholder response rate Act as the primary point of contact for stakeholder sustainability data queries Review stakeholder submissions for completeness, accuracy and consistency Provide Destination NSW with regular progress updates throughout the data collection and reporting period Benchmark sustainability performance against previous Vivid Sydney reports and relevant industry comparators Maintain appropriate data governance, secure storage and privacy practices in accordance with NSW Government requirements Prepare a plain-English summary of the final Sustainability Report for public use Prepare a short stakeholder feedback summary outlining key engagement insights Provide ad hoc sustainability advisory support during the festival period where required Attend meetings with Destination NSW, State Government Agencies and relevant stakeholders as reasonably required Take direction from Destination NSW or any other authorised third party Work to all agreed project milestones and reporting deadlines Undertake any other administrative or advisory duties as reasonably required by Destination NSW to deliver the above scope of work Contractor Requirements Service Requirements The successful Contractor will be required to provide or be responsible for: Appropriately qualified and experienced personnel to deliver all required sustainability data, analysis, reporting and advisory services All systems, software and data collection tools required to undertake the services unless otherwise agreed with Destination NSW Appropriate quality assurance processes to ensure accuracy and integrity of sustainability data and reporting Secure management and storage of information collected throughout the project Contingency planning to manage late submissions, stakeholder non-compliance, incomplete data and other unforeseen issues that may impact delivery All applicable travel, administration, software, allowances, loadings and other costs associated with delivery of the services unless otherwise agreed Information Requested In response to this RFQ, the Contractor must provide a fixed Project Management Fee for delivery of the Sustainability Data & Reporting Services by completing the attached costing template referenced as Part C2.
