Overview Destination NSW is seeking a Contractor or Contractors to design, plan, implement and deliver the Vivid Light on Sydney Harbour program for Vivid Sydney 2027, 2028 and 2029. Scope The Contractor will work collaboratively with the Event Operations Manager, Vivid Sydney, to design, plan, implement and deliver the Vivid Light on Sydney Harbour program for Vivid Sydney 2027, 2028 and 2029. The Contractor will also work collaboratively with the Event Operations Team, Vivid Sydney and any third-party contractors to develop and deliver a safe, reliable and integrated lighting program across Sydney Harbour that aligns with the broader Vivid Sydney lightscape. Sydney Ferries Program The scope includes: Design, installation, maintenance and removal of lighting and control systems for up to four (4) Sydney Ferries fleet, including Emerald Class ferries, Emerald Gen 2 (Manly Class) ferries, First Fleet Class ferries and River Class ferries Provision of all required lighting equipment, power distribution, control systems, wireless connectivity, weatherproof enclosures, backup equipment, compliance documentation, testing, installation, maintenance and de-installation by appropriately qualified personnel Destination NSW will manage stakeholder engagement with Sydney Ferries and Transport for NSW approvals. Commercial Vessel Lighting Program The scope includes: Development, management and delivery of the Commercial Vessel Lighting Program, engaging commercial vessel operators through the Commercial Vessels Association to participate in Vivid Sydney Provision and management of the control systems required to synchronise lighting effects across a fleet of up to 40 vessels (36 commercial vessels and 4 Sydney Ferries) and integrate them with the broader Vivid Sydney lightscape Development and delivery of the Commercial Vessel Lighting Program in consultation with Destination NSW Acting as the primary liaison between Destination NSW and the Commercial Vessels Association Delivery of presentations, information sessions and participant onboarding activities Management of vessel participation and execution of Destination NSW participation agreements Provision, maintenance and operation of control systems, servers and wireless connectivity Coordination of participating vessels throughout the festival period Provision of technical support to participating vessels Provision of daily participation and operational reports to Destination NSW Participating vessels will self-fund their lighting installations. Destination NSW will provide participating vessels with promotional opportunities through the Vivid Sydney Local Business Program, including inclusion on the Vivid Sydney website and associated marketing opportunities. General Requirements The scope includes: Development and implementation of risk assessments and risk management plans Compliance with all Vivid Sydney, maritime, WHS and legislative requirements Coordination of all transport, storage, loading and unloading of equipment Provision of all necessary equipment, plant and specialist personnel Working collaboratively with Destination NSW to finalise program design, schedules and delivery Meeting all project milestones and deadlines and maintaining adequate resourcing throughout the project lifecycle Instructions to Tenderers The Destination NSW Contract of Engagement template is attached for review as part of this RFQ. When responding to this RFQ, the Respondent should consider the terms and conditions in this template and confirm in writing that the terms and conditions can be met by the Respondent. Should the Respondent wish to negotiate any part of the terms and conditions, those terms and conditions should be specifically identified in the response to this RFQ. Destination NSW may elect to engage with the successful Contractor on specific elements of this request for quotation, but not others, due to ongoing operational variations. Destination NSW may also elect to contract with more than one Contractor for the services (or part thereof). This election will be at the sole discretion of Destination NSW, and the Contractor should indicate in its response to this RFQ whether it is willing to accept a contract for part, but not all, of the services set out.
